2. What personal data does DataEagle collect?
2.1 Use of our public website (www.dataeagle.nl)
Our website is publicly accessible. When you visit www.dataeagle.nl, we automatically collect limited, non-identifying information about how and when the website is used. This includes usage statistics that help us understand traffic patterns, improve performance, and enhance the overall user experience. These data do not directly identify individual visitors.

3. Use of the DataEagle customer application
The DataEagle customer application (the "App") is accessible only to authorised customers. The information described below applies exclusively to registered users who log in to the App and does not apply to visitors of our public website.
3.1 Account information
When you create and use an account, we process basic account details such as your first and last name and your email address. This information is required to provide access to the App and to manage user accounts securely.
3.2 Usage data
We collect and store information about how and when the App is used. This helps us understand feature usage, identify areas for improvement, and optimize performance and usability. To support this, we use Hotjar to analyse aggregated usage patterns and user interactions within the App. These insights are used solely to improve the service and user experience and are not used to identify individual users.
4. How does DataEagle collect, process, and store personal information?
4.1 Public website (www.dataeagle.nl)
We use analytics technologies to understand how our website is used. This includes measuring visitor numbers, page interactions, and navigation behaviour. Analytics cookies and tracking tags are used for this purpose.
Collected data may be processed and stored on servers located outside the European Union, including in the United States. Where applicable, such transfers are protected by appropriate safeguards in line with EU data protection requirements.
The collected data may include technical information such as IP addresses and device characteristics.
4.2 Contact form submissions
When you submit information through a contact form, we process this data in order to respond to your request. For this purpose, we use HubSpot as our customer communication and CRM platform.
The information you provide is securely transmitted to and stored on HubSpot servers, which may be located in the United States. Data is processed in accordance with applicable data protection laws and solely for communication and customer relationship purposes.
4.3 Customer application
Account data is provided either directly by you or by your organisation's DataEagle administrator and is stored in DataEagle databases located within the European Union.
Application usage data is collected through DataEagle's own software operating within the App environment and stored within the European Union. We do not use cookies or third-party tracking tools to collect core application usage data.
For user experience analysis, Hotjar may collect technical and behavioural information using cookies and similar technologies. This may include a device's IP address (processed during your session and stored only in a de-identified form), screen size, device type, browser information, country-level location data, and language preferences.
All Hotjar data is stored in a pseudonymised format. Hotjar acts as a data processor on our behalf and is contractually prohibited from selling or using this data for its own purposes.
5. For what purposes does DataEagle use your personal information?
5.1 Public website
Data collected through analytics tools is used solely to improve the quality, usability, and relevance of our website. We analyse this information only at an aggregated level. DataEagle does not access or analyse individual visitor behaviour.
5.2 Contact form communications
Personal information submitted via contact forms is used only to respond to your request and communicate with you at your initiative. Processing is based on our legitimate interest in operating and administering our website. DataEagle does not share contact details with third parties for marketing or commercial purposes without explicit consent. You may request to be removed from our contact list at any time.
5.3 Customer application
Account information is used exclusively to provide access to the App and to enable operational communication, such as password resets, system notifications, or automated data alerts. Communication preferences can be managed within your user account.
Usage data is used to improve functionality and user experience. By default, this data is analysed only in aggregated form. Individual-level usage data is accessed only in exceptional situations and solely for technical support purposes, for example when investigating a reported system error. Access is limited to the support engineer assigned to the issue.
6. Legal basis for processing
DataEagle processes personal data based on one or more of the following legal grounds:
- Consent, where you have explicitly provided it
- Performance of a contract, where processing is necessary to provide access to and operate the App
- Legitimate interest, where processing is required to operate, secure, and improve our services without overriding your rights
- Legal obligation, where applicable
7. How long does DataEagle keep your information?
7.1 Public website
Website analytics data is retained for a minimum of 25 months. Data is periodically reviewed to ensure it remains necessary for the stated purposes.
7.2 Customer application
Account information is retained for as long as your account is active and for up to 24 calendar months after deactivation. Accounts may be deactivated at your request, at the request of your organisation's administrator, or when your organisation terminates its subscription.
Upon a verified request for immediate deletion, account information will be permanently removed without observing the 24-month retention period.
Application usage data is automatically deleted after 24 months. If immediate deletion of all personal data is requested, usage data will be removed at the same time.
8. We value and protect your personal data security
DataEagle applies appropriate technical and organisational measures to protect personal data. All communication with our website and App is secured using encrypted connections.
Personal data is not shared outside DataEagle except where necessary to deliver our services and only with trusted partners explicitly mentioned in this policy. All partners operate under strict contractual and security obligations.
Internally, access to personal data is strictly restricted to authorised personnel who require access to perform their role. Wherever possible, processes are fully automated and require no manual access.

Under applicable data protection laws, you have the right to:
